dataSights vs Calxa
Both consolidate multi-entity accounts and build the reports on top. Calxa is built around budgeting and cash flow forecasting. dataSights is built around a database you own. It brings your Xero data and the systems beside the ledger into it through 160+ connectors, and posts journals, invoices and other records back to Xero.

Side by side, capability by capability
Everything in Calxa's column comes from material Calxa publishes itself, checked 13 October 2026. That covers its website, pricing page, help centre, change logs, blog and Xero App Store listing. Where Calxa does not publish something we mark it "not published". That is not the same as saying the product cannot do it.

Notes and sources
- Calxa's website lists pre-built report templates, from numbers reports to charts, and dashboards. Its help centre describes report bundles that combine reports, dashboards, documents and PDFs, and its features page describes adding cover pages, images, notes and annotations to a bundle. Calxa website and help centre, checked 13 October 2026.
- Calxa's help centre describes a Dynamic Report Builder for building your own report templates, with calculation columns, date-range groups and side-by-side organisation or business unit columns added in March 2026. Its earlier custom report designer is no longer switched on by default for new workspaces (change log of 17 December 2025). Its features page describes a KPI builder that uses financial data and non-financial metrics. Calxa help centre, change log of 25 March 2026, and features page, checked 13 October 2026.
- Every dataSights customer gets a dedicated Azure SQL database, so custom reports are built over that database in Excel, Power BI, any other tool that speaks SQL, or an AI assistant. There is no per-report or per-seat limit, and each package has a single tier with every feature in it. The data is what is priced. Account transactions, payroll and fixed assets cost extra on top of the base Xero Consolidation price, and connectors to systems such as inventory and CRM are priced per source system.
- Calxa's help centre describes exporting a report to PDF, XLSX, RTF, MHT, HTML, CSV or image formats, exporting a report bundle to PDF or to other formats such as Excel, and workflows that send a bundle as a PDF or Excel file. Its website, blog and help centre do not describe a PowerPoint export. That is not the same as saying Calxa cannot produce one. Calxa website, blog and help centre, checked 13 October 2026.
- dataSights board packs export to PDF in A4 landscape or PPTX in 16:9 widescreen. Management reports separately export to Excel or PDF.
- Calxa's help centre describes workflows that generate a report bundle and email it as a PDF or Excel attachment, started by hand or run on a weekly or monthly schedule. Calxa help centre, last updated 30 July 2026.
- dataSights refreshes your data on a schedule rather than emailing reports out. Scheduled intraday syncs are available on request at no extra cost on Xero Consolidation, and manual refreshes are unlimited. Board packs export to PDF or PowerPoint at any time for you to circulate.
- Calxa's website and help centre describe importing budgets from the accounting system, including Xero tracking category budgets, or from a spreadsheet, and building them with the Budget Factory, the Budget Builder and driver-based formulas, by company or cost centre. They describe cash flow forecasts and three-way forecasts, with scenarios compared side by side and, since June 2026, merged into budgets. Calxa website and help centre, checked 13 October 2026.
- Calxa's help centre describes consolidating multiple organisations on Calxa Premier into combined profit and loss, balance sheet and cash flow forecast reports, and its pricing page lists consolidations in all its Premier plans. A consolidated group saves its organisations, reporting currency and budget settings, and an account tree defines how accounts merge where organisations do not share a chart of accounts structure. Its features page lists over 180 currencies. Its help centre describes translating profit and loss at monthly average rates and the balance sheet at month-end closing rates, updated daily, with fixed or budgeted rates available as overrides. Calxa help centre and features page, checked 13 October 2026.
- Calxa's help centre describes consolidating organisations that come from different accounting systems, with an account tree to merge their accounts. Its pricing page lists connections to Xero, QuickBooks Online, and MYOB Business and AccountRight (its help centre lists AccountRight Plus and AccountRight Premier among the MYOB Business plans), with ERP systems including MYOB Acumatica, Sage Intacct and Microsoft Business Central on its Enterprise plan, and states that it does not work with locally stored files or desktop versions. Calxa Unplugged sets up an organisation by hand and imports its accounts, budgets and actuals from a file. Calxa help centre and pricing page, checked 13 October 2026.
- Calxa's help centre describes eliminating intercompany transactions by grouping intercompany accounts under a summary heading in an account tree, so their values net off. For cases such as partial eliminations, it describes entering elimination entries as actuals or budgets in a manually created organisation included in the group. Calxa help centre, last updated 22 May 2026.
- Calxa's help centre describes exporting reports and report bundles to Excel, with a bundle option that puts each report on its own sheet, and importing budgets and metrics from Excel or CSV files. Its Outbound Data Feed, added in April 2026, also connects to Excel. Calxa help centre, checked 13 October 2026.
- Calxa's help centre and blog describe an Outbound Data Feed, added in April 2026 and built on OData, that connects to Power BI, Excel, Google Sheets, data warehouses and other tools. The feed carries organisations, accounts, business units and metrics, with monthly actuals, budgets, metric values and cash flow forecast values, each aligned to the last day of the month. Calxa describes it as structured datasets rather than formatted reports. Calxa help centre and blog, April to August 2026.
- dataSights lands transformed tables in a dedicated Azure SQL database you own, so Power BI connects by Import for the consolidated views, or by DirectQuery against account transactions where that data point is enabled. Account transactions is a paid add-on to the base Xero Consolidation price.
- Calxa's help centre describes adding accounts and business units in Calxa and later syncing them into the accounting system, where they become linked records. Its Xero App Store listing shows accounts and tracking categories as shared from Calxa to Xero, and journals, invoices, payments, credit notes and budgets as shared from Xero to Calxa. Its help centre states that budgets cannot be updated from Calxa back to Xero, MYOB or QuickBooks Online, and shares a custom report template, built by a Calxa user, that exports a budget, for one organisation or one business unit at a time, as a CSV file to import into Xero. Importing the template needs its legacy templates feature turned on in the workspace settings, and its change log of 17 December 2025 says the legacy designer is no longer enabled by default for new workspaces. A September 2025 post on its blog states that Calxa does not push anything back to Acumatica. Its website, blog and help centre do not describe posting journals, invoices or other transactions to the ledger. That is not the same as saying the product cannot. Calxa website, blog, help centre and Xero App Store listing, checked 13 October 2026.
- From Excel, dataSights posts eleven record types: manual journals, invoices and bills, credit notes, purchase orders, bank transactions, bank transfers, payments, accounts, contacts, items and tracking categories. Through an AI assistant it posts manual journals, invoices and bills, contacts and chart of accounts changes, and attaches PDFs and documents to records that already exist in Xero. Both routes reach multiple Xero organisations in a single action. The AI route works in batches of up to 200 records, with up to 20 attachments per call.
- Calxa's help centre describes building transaction detail for Xero and MYOB Business organisations, and its change log shows transaction detail added for Sage Intacct in June 2026. That detail feeds its Account Transactions report. Its aged receivables and payables reports cover Xero and MYOB Business. Its help centre lists MYOB Business, online only, as including all its plans: Lite, Pro, AccountRight Plus and AccountRight Premier. It states that MYOB Business transaction detail covers periods from the 2020 financial year end, with earlier years held as monthly movements, and that Sage Intacct, which needs a Calxa Enterprise subscription, gets detail for the current and previous financial years. It states that QuickBooks Online organisations, manual organisations and its ERP integrations other than Sage Intacct are stored as monthly amounts without transaction detail. Its Outbound Data Feed carries monthly values. Calxa help centre, checked 13 October 2026.
- dataSights drill-down reaches account transactions where that data point is enabled. Account transactions is a paid add-on to the base Xero Consolidation price.
- Calxa's help centre describes metrics for non-financial data, entered directly or imported from a CSV or Excel file, and used in budget formulas and KPIs. For accounting systems it does not connect to, Calxa Unplugged sets up a manual organisation whose accounts, business units, budgets and actuals are imported from Excel or CSV files. Its website, blog and help centre do not describe connectors to systems such as CRM, inventory or payroll. Calxa website, blog and help centre, checked 13 October 2026.
- 160+ connectors are available. On Xero Consolidation, Xero, Excel Online and Google Sheets are included. Connectors for other source systems, such as inventory, CRM and external payroll systems, are priced per source system. Account transactions, payroll and fixed assets are Xero data sets priced as add-ons.
- Calxa's software licence agreement states that customer data is stored in Azure SQL and Cosmos DB databases in Microsoft's Australia East region, and its pricing page states that you can export your data at any time. Its Outbound Data Feed exposes monthly values over OData, which its blog describes feeding into BI tools, spreadsheets and data warehouses you run. Its website, blog and help centre do not describe the current product providing a database that you hold. Checked 13 October 2026.
- Calxa's website, blog and help centre do not describe AI features in the current product, connecting Claude, ChatGPT or another AI assistant to Calxa data, or an AI assistant posting to the ledger. Calxa website, blog and help centre, checked 13 October 2026.
- Querying transactions, and the Claude month-end workflows built on them, need account transactions, a paid add-on to the base Xero Consolidation price.
- Calxa's pricing page lists Premier1, Premier5, Premier50, Premier100 and Premier200, starting with 1, 5, 50, 100 and 200 organisations, with extra organisations added to any of them. It states that all Premier plans include cash flow forecasts, cost centre budgeting, consolidations, KPI dashboards and custom reports, and that all plans have unlimited users. Its Enterprise plan, for ERP systems such as MYOB Acumatica, Sage Intacct and Microsoft Business Central, is priced per tenant, includes all Premier features and carries a one-off implementation fee. Calxa pricing page and help centre, checked 13 October 2026.
- Calxa prices its Premier plans by the number of organisations and dataSights prices Xero Consolidation by the number of Xero entities. On 13 October 2026 Calxa's pricing page, set to AUD, listed Premier1 at A$264 per month for one organisation and Premier5 at A$341 per month for five, both labelled as including GST, which is A$240 and A$310 per month excluding GST. Extra organisations were listed at A$27.50 per month each, without a GST label of their own. Calxa's announcement of its prices from 1 March 2026 states that Australian prices include GST, which puts extra organisations at A$25 per month excluding GST. Its pricing page states that billing is set to the most economical plan as organisations are added. Its donations page describes Calxa Premier as available free of charge, through Infoxchange in Australia and TechSoup in New Zealand, to smaller not-for-profit organisations that meet their eligibility criteria. Its help centre adds that donation licences are issued for a discretionary period of one year and are then reapplied for, with an administration fee payable to the partner, that Calxa offers a discounted subscription to eligible not-for-profits that no longer qualify for a donation, and that it handles donations and discounts in other countries itself. Its Enterprise plan was listed at A$1,980 per month per tenant with a one-off A$3,300 implementation fee, both including GST, and a 30% discount on the Enterprise subscription until 1 March 2027. The dataSights entry price covers one or two Xero entities with reports data; account transactions, payroll, fixed assets and extra connectors are priced as add-ons. Both change, so check each provider's own pricing page. The dataSights price excludes GST.
Software changes often, so check both providers' current pages before deciding. dataSights publishes this page and makes one of the two products compared.
Where dataSights goes further
Six things dataSights does that show up in a real month-end, each one checked against what Calxa publishes.
Post back to Xero from Excel or your AI assistant
From an Excel sheet, dataSights posts eleven record types, each to multiple Xero organisations in a single upload. They run from manual journals and invoices through to purchase orders, bank transfers and tracking categories. Through an AI assistant it posts manual journals, invoices and bills, contacts and chart of accounts changes, and attaches documents to records already in Xero. Calxa's help centre describes syncing new accounts and business units created in Calxa into the accounting system. It states that budgets cannot be updated from Calxa back to Xero, and a template in its help centre exports a budget as a CSV file to import into Xero.
Every ledger transaction in a database you own
dataSights syncs down to account transactions, a paid add-on, into a database you own. A figure in a report can then be traced, filtered and joined to the transactions behind it, across every entity and alongside your other systems. Calxa builds transaction detail for Xero, MYOB Business and Sage Intacct organisations to run its own transaction reports, with aged receivables and payables for Xero and MYOB Business, and its data feed carries monthly values.
The database is yours, as well as the reports
Every dataSights customer gets a dedicated Azure SQL database, hosted by us or running in your own Microsoft account. Your analysts, your BI tools and your own scripts query it directly, with eliminations and FX already applied in the consolidated views. Calxa stores customer data in Azure SQL and Cosmos DB databases, lets you export it, and exposes monthly values through an OData feed that can load into a BI tool or a data warehouse you run.
Power BI down to the transaction
Calxa's Outbound Data Feed gives Power BI monthly actuals, budgets, forecasts and metrics over OData. The dataSights database is yours, so Power BI connects by Import for the consolidated views. DirectQuery reaches account transactions where that data point is enabled, as a paid add-on. No Power Query chain in the middle.
160+ connectors into one warehouse
dataSights runs 160+ connectors into one managed warehouse. Reporting usually stalls on the systems that are not the ledger: payroll, inventory, CRM. In dataSights they land in the same database as your Xero data, ready for Excel, Power BI or an AI tool. Connectors for other source systems, such as inventory, CRM and external payroll systems, are priced per source system. Beside the accounting systems it connects to, Calxa takes non-financial metrics entered by hand or imported from a spreadsheet.
Ask in the AI you already use, and act in it
Calxa's website, blog and help centre do not describe connecting an AI assistant to Calxa data. dataSights exposes the consolidated layer to Claude, ChatGPT and Microsoft Copilot through AI Connect, its MCP connector, included at no extra cost. The same connection posts journals, invoices, contacts and chart of accounts changes back to Xero, under permissions you set. It also builds assets that last: the AI saves SQL views and mapping tables into your database, and Excel, Power BI and the management reports reuse them.
Who each one is typically used by
Calxa
Budgeting, cash flow forecasting and reporting software. Its site names businesses, not-for-profits, and accountants and bookkeepers as who it is for. It connects to Xero, QuickBooks Online and MYOB, with ERP systems on its Enterprise plan, and prices its Premier plans by the number of organisations.
Typically used by not-for-profits budgeting and reporting by program and grant, by businesses building budgets and cash flow forecasts, and by accounting firms delivering monthly report bundles to clients.
dataSights
Built for multi-entity finance teams running on Xero, and for the BI and report developers who serve them. Used by 300+ businesses.
Typically used by a group whose reporting problem starts before the report. It is pulling Xero and non-Xero systems together, posting journals and invoices back across every entity, and handing analysts a database they can query directly.
How this page was compiled
Published by dataSights. We make one of the two products compared. This page is written to show where dataSights fits, so read it alongside Calxa's own material rather than instead of it. We have not scored either product or declared a winner. Every statement about Calxa comes from material Calxa publishes itself, including its Xero App Store listing. None comes from third-party review sites or our own testing of their product.
Sources, all checked 13 October 2026: Calxa's pricing, product, feature, customer and donations pages, help centre and change logs, blog, software licence agreement and Xero App Store listing. Where Calxa does not publish something we mark it "not published" and say so. That is not the same as the product being unable to do it.

Frequently asked questions
Both consolidate multiple entities and produce management reports. The difference is what sits underneath.
Calxa is built around budgeting and cash flow forecasting. Its help centre describes importing actuals, budgets, accounts and tracking categories from Xero, with transaction detail behind its own transaction and aged receivables and payables reports, and an OData data feed of monthly values for BI tools. Its website, blog and help centre do not describe the current product posting journals or invoices to the ledger, providing a database you hold, or connecting an AI assistant.
dataSights gives you a dedicated, reporting-ready SQL database, down to account transactions when you add them to your plan. That one database feeds:
- Customisable management reports and board packs in the dataSights platform, including AR and AP detail rebuilt from the underlying transactions, so you can rerun it as at any date, not just the last sync
- Excel automation through the Office Add-in and Power Query, including posting journals, invoices and other records back across multiple Xero organisations in one action
- Power BI and other BI tools, connected straight to your database
- AI Connect, our MCP, which your own AI uses two ways: month-end work, querying transactions and posting back to Xero, and report development, creating SQL views and creating and editing mapping tables so what it builds persists
- 160+ connectors bringing the systems beside the ledger, inventory, CRM, payroll, into the same database

Both write something back. dataSights posts records: from Excel it posts eleven record types, including journals, invoices, credit notes and payments, each to many Xero organisations in a single upload. Through an AI assistant it also posts journals, invoices and bills, contacts and chart of accounts changes, and attaches documents to records already in Xero. Calxa's help centre describes syncing new accounts and business units created in Calxa into the accounting system. It states that budgets cannot be updated from Calxa back to Xero, MYOB or QuickBooks Online, though a template in its help centre exports a budget as a CSV file to import into Xero. Its website, blog and help centre do not describe posting journals, invoices or other transactions.
Both can, in different places. dataSights keeps account transactions, a paid add-on, in your own database, so a figure can be traced to its transactions and joined to other systems across every entity. Calxa builds transaction detail for Xero, MYOB Business and Sage Intacct organisations and uses it in its Account Transactions report, with aged receivables and payables reports for Xero and MYOB Business. For QuickBooks Online, and for its ERP integrations other than Sage Intacct, its help centre states that transaction detail is not saved, and its data feed carries monthly values.
Calxa sells Premier plans priced by the number of organisations, from one to 200 organisations with extra organisations priced per month, each with every Premier feature and unlimited users. Its Enterprise plan for ERP systems is priced per tenant, with a one-off implementation fee. dataSights prices Xero Consolidation by Xero entities and Data Syncing by source systems, with unlimited seats and every feature in both; account transactions, payroll, fixed assets and connectors to systems such as inventory and CRM are Xero Consolidation add-ons.
Calxa connects to Xero, QuickBooks Online and MYOB Business (including AccountRight Plus and Premier), with ERP systems including MYOB Acumatica, Sage Intacct and Microsoft Business Central on its Enterprise plan. It does not work with locally stored files or desktop versions, and Calxa Unplugged takes in other systems from a file. dataSights consolidation is Xero-led, and its 160+ connectors bring external payroll, inventory, CRM, e-commerce and other systems into the same warehouse, priced per source system. If your entities sit on several different ledgers, that is a point in Calxa's favour; if your reporting problem is the systems either side of the ledger, it is not.
Calxa's pricing page, set to AUD, lists Premier1 at A$264 per month for one organisation and Premier5 at A$341 per month for five, both including GST, which is A$240 and A$310 excluding GST. The same page lists extra organisations at A$27.50 per month and states that billing is set to the most economical plan. Calxa's price announcement states that Australian prices include GST, so an extra organisation is A$25 per month excluding GST. dataSights starts at A$80 per month covering one or two Xero entities, excluding GST, with consolidation, multi-currency and AI Connect included and account transactions, payroll, fixed assets and extra connectors as add-ons. Both change, so check each provider's own pricing page.
